Update Sharepoint List with PowerApp

Hello,

I am completely new to PowerApps and I've searched for hours trying to find the answer to this problem I have, but either the solutions I've found don't work for my specific situation or I am not knowledgeable enough to apply the solutions properly.

I have a sharepoint list containing some columns that are prefilled and others that aren't. For example, let's say that I have the following item in my sharepoint list:

ID	Email	Date	Status	Comments
1	Asdf@asdf.com

So the first two columns are already filled and the other three aren't. The PowerApp already has the [Date] pre-populated with today's date, [Status] is a drop-down list, and [Comments] is a long-text. Both ID (system-generated) and Email are hidden in the PowerApp since I don't want those to be edited.

I have a Power App form that contains those three columns as fields for the user to fill in with a submit button.

I also have a Power Automate flow that sends the user an email with the link to the PowerApp as soon as the item is created in the Sharepoint List so that they can submit the form in PowerApp to update the item with the other three columns filled in.

Whenever I press the submit button on the PowerApp, a new item gets generated like below:

ID	Email	Date	Status	Comment
1	Asdf@asfd.com
2		8/10/2021	Complete	Blah Blah Blah

Instead, I need all of the information updated to the first line like this:

ID	Email	Date	Status	Comment
1	Asdf@asdf.com	8/10/2021	Complete	Blah Blah Blah

I've looked into form edit, patch function, matching by ID, and tons of videos., but nothing seems to be working.

I would appreciate any help with this issue.

Also, apologies if there's already a solution to this issue, I probably just don't know how to make that solution work in my case.

What are your plans after the form is submitted?  The formula you have there is fine, but I have no idea where you are using currentRecord.

Nothing really, once the form is submitted, the PowerApp changes to a second screen saying that the form has been submitted.

And I think your lookup formula worked! I'm not sure how to proceed in the case that we have multiple users filling out the form for the same item, but thank you for helping me with this particular question!

Yeah, so the variable is not significant and you can remove it.

As for the multiple users - you need to consider your approach on that.  It seemed that your flow for the item is that once created, it sends an email to the user in the email address with the link.  So, not sure how you would even factor in multiple users on that if it is one email.

The thought was that we could have Power Automate send the link out to multiple users for a particular item.

I think the simplest approach in that case would just be to have the PowerApp form responses recorded in a separate SP list that can be joined with the original list via the ID column.

But that's a separate discussion that my team would have to have.

No problem and happy to help.

Yes, sending the same record (essentially) to multiple people to edit could be very problematic.  You should think that one through a little more.
