Update dropdown value in PowerApps based on another value

I have a powerapp which is linked to SharePoint and has a dropdown list called Status which the user can select various statuses from.

 

There is a Yes/No box on the form called Investigation Complete and what I need is to change the Status field to "With Quality to Review" should someone tick the Investigation Complete box.

 

For the OnCheck and OnUnCheck properties for the Investigation Complete box I have set these as:

OnCheck - UpdateContext({varInvestigationComplete:true})

OnUnCheck - UpdateContext({varInvestigationComplete:false})

 

I assumed that I could then put an IF statment in the Items property of the dropdown so that if  varInvestigationComplete is true then change the value to "Quality to Review" but this doesn't seem to work.

 

Any help would be appreciated.

Is "With Quality to Review" one of your Status field dropdown choices?

If so, then you can just adjust the Default property of the DropDown with a formula like this:

   If(yourCheckBox.Value, "With Quality to Review")

 

That will change the default of that drop down to that specific item when you check the box.

Hi, yes "With Quality to Review" is one of the Status field dropdown choices.

 

The UpdateContext bit seems to work and updates the variable to true or false depending what is selected. I can also update the Default value of a text box using this formula.

 

If(varInvestigationComplete=true,"With Quality to Review",Parent.Default)

 

However, trying to do the same with the same with the Default property of the Status dropdown field throws up an error saying "Invalid argument type (Record). Expecting a text value instead".

 

Do I have to do something different with this being a dropdown list?

Okay, I have found a way to do this although it doesn't give me exactly what I need.

 

In the OnCheck property of the Yes/No box I put UpdateContext({varInvestigationComplete: true})

In the OnUnCheck property I put UpdateContext({varInvestigationComplete: false})

 

Then in the Default property of the Status dropdown box I put this code.

 

If(varInvestigationComplete=true, {'@odata.type': "#Microsoft.Azure.Connectors.SharePoint.SPListExpandedReference",
Value: "With Quality to Review "
}, ThisItem.Status)

 

This then changes the value of the Status box when the Investigation Complete tickbox is ticked on unticked. The only other thing it does which I do not want it to do is if the status is something other than "With Quality to Review" and the form is opened with the Investigation Complete tick box ticked, it changes the status when the form opens. I only want it to do this when the box is ticked or unticked.

So first off, the variable varInvestigation is not needed for anything.  You can do without it.

And this is most likely the culprit for the issue you see with the status being wrong when a record is opened. 

If you are going to use a variable, it is up to you to update it and keep it accurate.  If another record is opened, you will have to change your variable based on that record, or else your status will be wrong.

 

So again, my suggestion is that you ditch the variable and just use the Checkbox that you already have.

If(yourCheckBoxName.Value, 
  "With Quality to Review",
  ThisItem.Status //thisItem.status may or may not work properly in this case depending on your datacard and editform
)

Then the question will be, what is the Default property for the CheckBox?  Because that will also impact what shows when a record is opened.

Do I not need the variable to update the context so that when this field is ticked on the form...

The formula I supplied for you is all you need.

There is no other reason for a variable in this case.  UpdateContext only creates/updates context variables.  It does nothing else for your data, form or app.

So, the very fact that you have a CheckBox with a Value is all you need.  You can reference it as much as you want. You don't have to maintain it.  You only need to make sure it has the current Default value.

As for your DropDown - you only have one condition - If the CheckBox is Checked, then set the status to "Quality to Review"

So - the formula for your dropdown default is simple:

If(yourCheckBoxName.Value,  //If the checkbox is checked
   "Quality to Review",     // then set the value of this dropdown to this text
   ThisItem.Status.Value    // otherwise, set it to the current value in the record. (note I realized you are working with a choice column, so you will need to also reference the Value
)

Unfortunately that doesn't seem to work. The code I have put in is this.

 

If(SF1_InvestigationComp.Value,
"Quality to Review",
 ThisItem.Current_x0020_Status.Value
)

 

I get an error "The property expects record values, but this rule produces incompatible text values."

 

However, the owner of the form now doesn't want the ability to automatically change the status based on the selection of that field so no need to worry about it.

No problem.  My next question would have been what is the Items property set to.

 

Just for your reference for the future - when setting the default value of comboboxes and dropdowns, you need to match the type.  This means, if your control has a list of items that are just text strings, you can specificy a text string for the default.  If the control has a list of items that are full records of items from a data source, then the default must also then be a full item that matches.  There are some issues with setting default properties accurately on some of the controls (I have another posting that deals with some of this to explain).

But, in general, setting defaults it pretty stright-forward as long as you realize you must match apples to apples.

 

Hope this helps for some of your future PowerApps design work.

Summer of Solutions | Week 4 Results | Winners will be posted on July 24th

We are excited to announce the Summer of Solutions Challenge!   This challenge is kicking off on Monday, June 17th and will run for (4) weeks.  The challenge is open to all Power Platform (Power Apps, Power Automate, Copilot Studio & Power Pages) community members. We invite you to participate in a quest to provide solutions in the Forums to as many questions as you can. Answers can be provided in all the communities.    Entry Period: This Challenge will consist of four weekly Entry Periods as follows (each an “Entry Period”)   - 12:00 a.m. PT on June 17, 2024 – 11:59 p.m. PT on June 23, 2024 - 12:00 a.m. PT on June 24, 2024 – 11:59 p.m. PT on June 30, 2024 - 12:00 a.m. PT on July 1, 2024 – 11:59 p.m. PT on July 7, 2024 - 12:00 a.m. PT on July 8, 2024 – 11:59 p.m. PT on July 14, 2024   Entries will be eligible for the Entry Period in which they are received and will not carryover to subsequent weekly entry periods.  You must enter into each weekly Entry Period separately.   How to Enter: We invite you to participate in a quest to provide "Accepted Solutions" to as many questions as you can.
