User Permissions to Filter Combobox Options

I'm trying to manage the users that will have access to the app. 

 

There's internal users that will have access to everything, then there's external users who will have access to some things.

 

There's several external users for example:

 

External User type1

 

External User type2

 

External User type3

 

External User type4

 

Each of these usergroups will have access to certain options on the dropdowns in the app, and some of them will overlap.

 

For example Type1 needs to see on the dropdown Option1 and Option3

 

User Type2 will need to see Option 1 and Option 5

 

User Type3 only needs Option 2

 

User Type 4 needs Option 3 Option 4 and Option 5

 

I started this by creating an add user page where the admins can add people and give them a type and them assign them to multiple groups and this is then stored on my azure DB as I thought this would be the best approach, if they are assigned to multiple groups they will have access to the multiple options, but im not being able to make that work without a LONG LONG if statement on the OnStart of the app as I have SEVERAL user groups.

 

So, my question really is, whats the best approach?

So, you might want to consider one entry per user instead with a UserType that is a string of separated numbers.

 

In your OnStart, set the following global variables:

Set(glbUserOptions,
     Table(
        {type:1, options:["Option1", "Option3"]},
        {type:2, options:["Option1", "Option5"]},
        {type:3, options:["Option2"]},
        {type:4, options:["Option3", "Option4", "Option5"]}
     )
);

Set(glbUser, LookUp(yourTable, ID=User().Email))

 

On your dropdown Items:

Sort(
    Distinct(
        Ungroup(
            ForAll(Filter(glbUserOptions, type in glbUser.UserType),
                {Value:options} 
            ),
            "Value")
        , 
        Value
    ), 
    Result
)

This will give you what you are looking for.

Sorry to be dragging you to yet another probably simple issue but, are you able to give me some guidance? my current solution revolves around creating an If statement that comprises all possible scenarios for app access, where any individual that might belong to Type X might need access as well to the things users from Type Y have access...if there was only 3 or 4 groups that would be ok, but I have over 15 groups, which means my if statement would have to consider all possible combinations....I'm probably not seeing something very logic and basic in this, but I'm kind of stuck unable to move on.

 

Can you help?

So, for this to happen, you don't need any if statements.

What you should be doing is having a user "database" with the user email address and then what group they are in.

My first question before proceeding...will each user have one group type or will users have overlapping types - i.e. ExternalUser1 can be Type 1 and Type 3 for example.

Yep I have the table with the user email address, some users are external and some internal so my table currently has the following columns:

[UserName]
,[UserType] (Type1, 2, 3, 4, 5, 6...This is the column I will be using to define what data in the app is visible to them)
,[ID] (email)
,[Usergroup] (Read-only/Read-Write)

 

The user will have overlapping types, a user can have 4 or 5 or more types and the way my table currently deals with that is it adds a record per each Username per Each Usertype. So for example John Doe will have 4 records one for the 4 Usertypes he has assigned to him.

@RandyHayes  thanks for the help. Trying to implement it this morning and I'm getting a delegation warning for the Lookup part of the code: Set(glbUser, LookUp('MyTable', Id=User().Email))

 

So in OnStart I've set up a variable for the user as the first line of code: 

Set(
vUser,
User().Email
);

 

I've then changed your line of code to Set(glbUser, LookUp('MyTable', Id=vUser)) and this fixed the delegation warning.

 

unfortunately though after putting your advice in place I still get no results on the dropdown or comboboxes. I also dont get any errors so the formulas are OK, they're just not retrieving anything and I can't figure out why.

 

Any ideas?

@RandyHayes  Ignore that...It's working now...for some reason initially was not accepting it so I closed the editor and opened again and now it's working.

Summer of Solutions | Week 4 Results | Winners will be posted on July 24th

We are excited to announce the Summer of Solutions Challenge!   This challenge is kicking off on Monday, June 17th and will run for (4) weeks.  The challenge is open to all Power Platform (Power Apps, Power Automate, Copilot Studio & Power Pages) community members. We invite you to participate in a quest to provide solutions in the Forums to as many questions as you can. Answers can be provided in all the communities.    Entry Period: This Challenge will consist of four weekly Entry Periods as follows (each an “Entry Period”)   - 12:00 a.m. PT on June 17, 2024 – 11:59 p.m. PT on June 23, 2024 - 12:00 a.m. PT on June 24, 2024 – 11:59 p.m. PT on June 30, 2024 - 12:00 a.m. PT on July 1, 2024 – 11:59 p.m. PT on July 7, 2024 - 12:00 a.m. PT on July 8, 2024 – 11:59 p.m. PT on July 14, 2024   Entries will be eligible for the Entry Period in which they are received and will not carryover to subsequent weekly entry periods.  You must enter into each weekly Entry Period separately.   How to Enter: We invite you to participate in a quest to provide "Accepted Solutions" to as many questions as you can.
