Get data from parent and child tables and create a PDF

I have a flow set up to list all the parent rows in agreement table.

Then take the related records in property table.

Then take the related records in property owner table.

Take all this information, and populate a word doc template.

Save the file and convert to PDF.

Upload file back into agreement table.

The flow looks like this:

When the user submits "Yes" to agreement issued, the flow activates, the condition is used to check that.
Lists the agreement on the latest modified record:

then get row from id action to get the property and owner based on the foreign key in the agreement table. 

The problem comes after populating the word template action.

Because everything after that is in nested loops, the flow will attempt to create a file for each record it loops through in property table and owner table. This will cause the flow to run hundreds of times to generate one PDF.

How do I set this up so it runs one time, makes one PDF and stops.

Hi @areseia 

Within your Word template you must use a table and from there fill in the data and in this way it is only repeated within Word for the number of iterations that the loop has.

In Word 

You must establish a variable of type Array

then you fill the data of the variable in your array using the loop

once out of the loop, in word you will see a different behavior where you can establish that table

What if it's not a table, and just needs it to be filled in once like this?

Hi @areseia 

If you are listing a table it will have n records so it generates n pdf if you don't want to treat them as a table, unless you want it to only get the first record and there you can use the first one inside a variable or inside the PDF but outside the loop doing reference to the first element that the loop brings

I want it to grab only 1 record. The latest modified agreement record. Then grab everything related in property and property owner table.

Take everything and populate it and map it into that word template I showed above.

Hi @areseia 

The problem you have is that you want to obtain the names of the lookups and you can do that much easier using expand query, build the view in XRMTOOLBOX's FetchXML Builder and you can have the names and not the guid of the lookups.
And with that you won't have to be listing tables.
